I needed two VHS and one Hi8 camcorder tape converted to digital format and I'm glad I found Supaphoto. What made me choose the company were the excellent reviews. I got an extremely fast response to my initial query and I was greeted by very friendly staff when I dropped my tapes off at the studio, and I was also very impressed with all of their specialised equipment they had. I wasn't looking for either the cheapest or quickest service but I was looking for a high quality service and Supaphoto are one of the few companies around that offer both excellent customer service and a high quality service. I look forward to using them again in the future which I certainly will be doing as I have more videos to convert plus some very old 1940s family photographs I'd like digitizing.

I've just had eight reels of childhood memories digitised from old 8mm film. The service and speed of Supaphoto is second to none. Friendly, fast, and focused on quality. I didn't even get to see the first run. It failed the quality standards and Supaphoto created a better version at no cost to me. I highly recommend Supaphoto.

I entrusted Supaphoto with preserving my entire family archive of over 2,500 assets. The project included loose prints, 35mm slides, mouldy VHS tape restoration, and full photo album scanning. They worked quickly and carefully, completing this massive undertaking in under three months. I was thrilled to receive high-quality JPEG and TIFF image scans alongside AVI and MPEG video files, all meticulously organised into dated folders exactly as I requested. Most importantly, my original media was handled with the utmost care and returned safely and securely. Supaphoto is truly the best in the business, offering an invaluable service for preserving a lifetime of memories. Highly recommended! Thank you.

The UK’s No1 Document Scanning Service

The video to the left introduces Supaphoto’s large format scanning service and includes sample transfers so you can see the level of detail that professional digitisation can capture. It provides a useful overview of how we approach oversized, valuable and unusual originals, particularly when careful handling and high-resolution reproduction are important.

Supaphoto has experience digitising historic, valuable and fragile collections. Our professional scanning equipment captures fine detail and helps reproduce colour and tonal information faithfully, creating digital files suitable for preservation, research, reproduction and publication.

We can scan a wide variety of originals, including documents, maps, photographs, artwork, books, slides and negatives, as well as large and non-standard formats that may be unsuitable for conventional scanners. Bound and delicate volumes can be digitised using overhead scanning and book cradles, helping protect pages and bindings without unnecessarily flattening the original. Our wider heritage collection digitisation services cover projects containing several different types of historic material.

For larger archives, digitisation can also make collections considerably easier to access. Files can be organised and supplied in appropriate archival formats, with OCR, searchable PDFs, structured file naming and indexing available for suitable projects. Originals are tracked through the digitisation process, and bulk collections can be accommodated.

If you are planning a project involving oversized originals, our guide to choosing the right large format scanning company explains some of the practical points worth considering.

Supaphoto’s previous heritage digitisation work includes material connected with Sir Richard Attenborough, Windsor Castle, the Mary Rose and Queen Elizabeth II, reflecting our experience with important and historically significant collections.

Documents, maps, photographs, artwork and other archive items can be irreplaceable, so we treat each original individually and use an approach appropriate to its size, format and condition.

Our high-resolution scanning captures fine detail for preservation, research, reproduction and publication. Professional scanning equipment helps reproduce colour, tone and detail faithfully, while specialist facilities allow us to work with oversized and non-standard originals as well as books, documents, photographs, artwork, slides and negatives. For bound collections, our specialist book scanning service uses techniques including overhead scanning and book cradles to help protect delicate pages and bindings.

A professional digitisation project also needs well-organised digital files. We can supply suitable archival formats and, where appropriate, provide OCR, searchable PDFs, structured file naming and indexing. This can make extensive document and archive collections easier to search, identify and manage. Originals are tracked through the digitisation process, while our service can accommodate anything from individual specialist pieces to substantial bulk collections.

More Help & Guidance

Large format scanning often involves originals that are difficult to digitise using conventional equipment. Architectural drawings, maps, plans, posters, artwork and historic documents may be oversized, fragile or too important to risk repeatedly handling. Professional digitisation provides a way to create detailed digital copies while retaining the physical originals.

The following guidance explains what to consider when planning a large format document scanning project, particularly where preservation, accurate reproduction and future access are priorities.

Specialist Heritage Scanning Expertise

Scanning an everyday document is very different from digitising an irreplaceable archive item. Historic documents may have fragile paper, delicate edges, folds, bindings or surfaces that require greater care during handling.

Supaphoto has experience digitising valuable and historically significant collections, so the condition and physical characteristics of the original can be considered before scanning begins. This preservation-led approach is particularly relevant to archives, private collections and organisations responsible for material that cannot simply be replaced.

Our experience has included digitisation work involving material connected with Sir Richard Attenborough, Windsor Castle, the Mary Rose and Queen Elizabeth II. For collections containing several types of historic media, our heritage collection scanning and digitisation service provides a broader overview of the specialist materials that can be preserved digitally.

Why High-Resolution Scanning Matters

Resolution becomes particularly important when an original contains fine writing, intricate illustrations, annotations, architectural details or other information that needs to remain clearly visible after digitisation.

High-resolution scanning captures this information so digital copies can be suitable for purposes such as preservation, research, reproduction and publication. The appropriate approach depends on the original and how the resulting file will eventually be used; a reference copy viewed on screen can have different requirements from a master intended for detailed research or future reproduction.

Colour and tonal accuracy matter too. Professional scanning equipment helps reproduce the appearance and detail of the source material faithfully rather than simply creating a basic digital snapshot. Our guide to choosing a specialist large format scanning company covers further points worth considering when comparing scanning providers.

Careful Handling of Valuable Originals

For heritage digitisation, the condition of the original should influence how it is handled. A modern plan in good condition presents a very different challenge from an old map, delicate drawing or historic document.

We treat precious and fragile material individually, taking its size, format and physical condition into consideration. The objective is to obtain a useful digital reproduction while minimising unnecessary handling of the source material.

Bound material can require a different approach again. Where appropriate, overhead scanning and book cradles help protect pages and bindings by avoiding the need to force a volume completely flat. Customers with bound archives can also see our specialist scanning options for books and volumes.

This combination of appropriate equipment and careful handling is particularly valuable when originals have historical, financial, research or personal significance.

What Types and Sizes of Material Can Be Scanned?

Large format digitisation is not limited to conventional office documents. A specialist scanning project might contain maps, plans, drawings, photographs, artwork, books, posters or other archive material, alongside slides and negatives within a wider collection.

Oversized and unusual originals often present the greatest difficulty because they may not fit conventional desktop or flatbed scanners. Specialist equipment makes it possible to digitise large and non-standard material while retaining the fine information that gives the original its value.

Mixed collections may therefore require more than one scanning technique. A heritage archive, for example, could contain a large map alongside photographs, bound documents and smaller supporting material. Identifying the formats and approximate quantities before the project starts makes it easier to determine an appropriate digitisation workflow.

For particularly valuable artwork, our guide to selecting a fine art scanning provider explains additional considerations around detailed reproduction.

Creating a Useful Digital Archive

Good archive scanning should consider what happens after the image has been captured. Hundreds or thousands of excellent scans are much less useful if nobody can identify or locate the required file.

Digital files can therefore be organised and supplied in suitable formats, with structured file naming and indexing available for appropriate projects. Where the source material is suitable, OCR can convert scanned text into machine-readable information, allowing searchable PDFs to be produced.

This can be especially useful for document collections used for research or reference because users may be able to search for words or phrases instead of manually examining every page.

It is also sensible to consider how completed files will be stored and backed up. Our guidance on preserving digital storage media provides useful background on protecting digital material once physical originals have been converted.

OCR, Searchable PDFs and Indexing

Can old documents be made searchable after scanning? For suitable originals, OCR – Optical Character Recognition – can identify printed text within scanned pages and make the content searchable.

OCR can be particularly helpful for reports, correspondence, records and other text-heavy archives. However, its usefulness depends on the source material. Clear printed text generally presents a different challenge from handwriting, unusual typefaces, damaged pages or faded originals, so requirements should be considered as part of the project.

Structured naming and indexing can provide another layer of organisation. Files might need to correspond with existing archive references, document categories or another agreed system. Establishing this structure before a large project begins helps create a digital collection that remains practical to navigate rather than becoming an unstructured folder containing thousands of scans.

For further practical queries, see our answers to common digitisation questions.

Secure Handling and Large Collection Scanning

Large digitisation projects require organisation as well as scanning quality. When a collection contains hundreds or thousands of originals, keeping material identifiable throughout the workflow becomes particularly important.

Supaphoto tracks materials through the digitisation process, helping maintain control of originals as they progress through scanning. Bulk projects can also be accommodated, making the service suitable for substantial collections as well as individual oversized items.

Before sending a large archive, it can help to identify obvious groups, reference numbers or categories that need to be preserved digitally. Discussing these requirements beforehand can also clarify whether OCR, indexing, particular file formats or a specific folder structure will be required.

If you are still deciding how best to approach a valuable collection, our guide to choosing a heritage scanning specialist covers some of the broader considerations involved.

Common Mistakes to Avoid

  1. Choosing resolution without considering the final use. Think about whether scans are required for basic reference, detailed research, reproduction, publication or long-term preservation.

  2. Forcing fragile originals flat. Delicate books, documents and bindings may require specialist handling or non-destructive scanning techniques.

  3. Ignoring file organisation. Decide how scans should be named, grouped and indexed before a large collection is digitised.

  4. Assuming every document is suitable for OCR. Print quality, condition, typography and the nature of the original can all affect text recognition.

  5. Focusing only on scanning price. Handling, resolution, colour reproduction, file organisation and experience with valuable originals can be equally important.

  6. Creating only one digital copy. Once your archive has been digitised, consider how the resulting master files will be stored and backed up for the future.

For project-specific queries about formats, fragile originals, oversized material or digital output, the large format scanning questions and answers provide additional guidance before you arrange your collection.

More Questions About this Format

A: Large format documents include architectural drawings, maps, engineering plans, blueprints, historical charts and oversized posters. High-resolution scanning ensures all fine lines, annotations and details remain clear when zoomed or printed.

A: We scan at high pixel dimensions appropriate to the original size and detail (for example 600 DPI or higher, depending on the document) and provide large-format digital files (TIFF/PDF) ready for zooming, printing or archiving.

A: Yes — our large format scanning equipment supports oversized materials including A0, board maps and rolls. We handle both flat and rolled documents, with careful handling and flattening where needed.

A: We use high-resolution capture, calibrated lighting and image-enhancement techniques to preserve fine lines, text, colour distinctions and annotations. If needed, we tailor settings to bring out faded ink or subtle markings.

A: We provide master files (typically TIFF or high-resolution PDF), optionally with down-scaled versions or JPG/PNG/Web-friendly formats. Delivery can be on USB/SSD or cloud link; we also offer indexing or file naming services.

A: Remove any staples, clips or fasteners; ensure documents are clean and dry; if rolled, allow them to flatten or discuss how we should handle them. If fragile, let us know so we can take extra precautions.

A: We use precision flattening systems and adaptive exposure control to capture every line while preventing further wear, ensuring legibility even for faded or fragile blueprints.

A: Each scan is calibrated for dimensional precision, ensuring 1:1 scale accuracy — essential for architectural, engineering and archival reproduction work.

A: Yes — we accept colour plans, monochrome line drawings, mixed media, and we have options for scanning faded, damaged or fragile originals. We may include optional image-enhancement or restoration to improve readability.
